OpenEngagement Quick Upload

When first opened, Quick Upload is idle and waits for the user to specify files to upload. Files may be added by clicking the Add Files button, by monitoring directories for new files, or by dragging and dropping from Windows Explorer.

Click the Initialize Site button to initialize the DMS based on the current organization your firm uses. Quick Upload gives firms two methods to initialize their site - using a default site organization (one of four provided) or copying the local folder structure.

We provide four very standard site organizations to choose from. For each, there's a sample button where users can see an example of the corresponding option. Users simply choose which one they want and the folder on the local computer or network where the client files are located. Once these two items are specified, the user may hit Preview to see how the DMS will look. The Preview shows the site with both all its current content, if any, and all the new content that will be uploaded. To determine the entity names, the client profile is parsed from the client files.

The Copy Local File System method can be used to send up any content, and not just CaseWare client files, and can be run multiple times if necessary. This method is useful where firms have a folder structure they wish to reproduce in the DMS. Users specify the local or network folder where the content they wish to send to the DMS or KMS is, the location in the DMS or KMS where they wish to put it, and a little more information about how specifically to copy up the folder structure. A preview button is available here as well.

Click the Monitor button to select directories to monitor for new files. This is useful when a scanner is scanning documents and creating image files in a directory.

Once specified, the main user interface lists the files and their upload progress, and indicates what metadata has been set.

The dialog to set the target location looks similar to those in the Go-Between. The target location for many files may be set at once. Once the target location within the DMS or KMS is set, Quick Upload will begin uploading the files, while the user works adding additional files, setting target locations for other files, or defining metadata.

Quick Upload allows users to set the title, description, workflow state in the DMS or visibility in the KMS, period end, keywords and local roles. The metadata for many files may be set at once.

The main user interface displays clearly which metadata has and has not been set. This is particularly useful where firms upload hundreds or thousands of files.

The progress bar and status fields at the bottom clearly show the progress. Once finished, all files display 'Complete' and the progress bar is at 100%. In this example, not all metadata fields are set for all files, which is likely realistic, as firms do not always need to set all fields.
