Central Organization
OpenEngagement DMS allows users to keep all documents in one central location, where they are easy to locate and manage. |
Scheduled Mass Backups
Hosted solutions provide scheduled complete backups, allowing backups to be performed with no effort from the users. With local solutions, as the Engagements are in a single central location, backups are made simple to implement. One scheduled backup operation can easily handle the backup of every engagement in the organization.

Integration with Working Papers
Users can continue to use Working Papers almost as before, with the advantage of being able to open client files from one simple, central location. CaseWare also now provides an interface to save existing client files to OpenEngagement DMS.

Web Browser Interface
OpenEngagement DMS provides a web browser interface, allowing you to work directly with OpenEngagement DMS without using Working Papers. An interface within Working Papers is
also available.

Accessible from Anywhere in the World
Because OpenEngagement DMS has a web browser interface, it is possible to specify its content be accessible, through the web, from anywhere. Doing this makes it easy to monitor and work on the completion of engagements from client sites, hotels, or anywhere else you may be. Because OpenEngagement DMS uses SSL, this is done securely.

Metadata
OpenEngagement DMS allows users to store metadata with each engagement. This allows users to perform highly effective searches, to organize engagements in arbitrary ways, and to quickly assess engagements without necessarily launching Working Papers, by locating them within the DMS using a web browser.

Security
OpenEngagement DMS allows managers to define access permissions to specific files within OpenEngagement DMS to only certain users or groups of users. OpenEngagement DMS also allows multi-level access to the content. For example, some users may be given permission to prepare or review a given engagement, while others may be given permission only to view it, and other users may be given no permissions for that engagement.

Workflow
OpenEngagement DMS provides a workflow for engagements specifically suited for CaseWare users.
This tracks engagements through their various stages (preparation, review and so on),
and controls access to the engagements at each stage. This ensures only the appropriate
actions can be performed on an engagement given the stage of development it is in. For example,
some users may be given permission to edit a client file while it is in the Review state,
but not once it is completed review. This provides a powerful enhancement to the security model.
With OpenEngagement DMS, the workflow is seamlessly integrated with the DMS’s other features.

Searching
Users can quickly locate Engagements within OpenEngagement DMS using the basic and advanced search features. Users may also create stored searches, which may then be executed any number of times.

Hierarchical Organization
OpenEngagement DMS organizes its content in a straightforward hierarchical manner, similar to the directory structure of your hard drive. Users are free to design their own specific organizational structure. Examples are provided in the documentation.

Alternative Hierarchical Views
It is possible to create multiple alternative hierarchical views on the collection of engagements within OpenEngagement DMS. For example, engagements may be organized by type, year, or other qualities, or by qualities of the entities for which the engagements are prepared, for example by region, private/public, for-profit/not-for-profit and so on.

Easy to Determine The Progress of Each Engagement
OpenEngagement DMS provides simple interfaces to determine at which state each engagement is, and who has and has not completed their work for it.

Storing Arbitrary Content
OpenEngagement DMS can display Word and PDF files directly from the web browser interface. Any other content that cannot be viewed in a web browser may still be uploaded into and downloaded from OpenEngagement DMS. There are no restrictions on what types of data may be stored in OpenEngagement DMS.

Storing Scanned Documents
OpenEngagement DMS allows users to store scanned documents as well as other images, and to view these directly in the web browser interface.

Creating Content Directly
OpenEngagement DMS allows users to create content directly within it. This can be very useful for creating short notes about clients or engagements, long documents related to firm policies, or any other type of content the user wishes to create. OpenEngagement DMS ships with a powerful WYSIWYG editor, with an interface very similar to that of Microsoft Word.

Archiving
As well as handling active Engagements, OpenEngagement DMS allows users to archive engagements. It handles engagements from their beginning to end. Once archived, they may be viewed but not altered.

Configurable
OpenEngagement DMS interface makes it easy to change the appearance of the product, as well as the workflow and security settings. This work may also be done by OpenEngagement on a consultancy basis.

Tracking User Changes
The DMS maintains a history of which users performed actions on engagements and when. For example, it tracks which user marked an engagement as ready for review, or as archived, and when.
|
Multi-Language Support
Most of the text in OpenEngagement DMS has been translated to over 30 languages. However, some text, in particular any content added by the user, will only be displayed in English or the language in which it was entered.

Optional Email Notifications
Users may be optionally emailed when Engagements are ready for review, completed review, or approaching a scheduled archiving date.

Printing
OpenEngagement DMS allows viewing Word and PDF files from within the application. These files may also be printed directly from OpenEngagement DMS. It is also possible to print engagement descriptions and lists of engagements directly from OpenEngagement DMS.

Simple Installation
Whether using hosted or local solutions, OpenEngagement DMS is easy to install, and does not require hiring consultants. OpenEngagement DMS can be run almost out of the box, with very little setup.

Full Life Cycle
The Open Engagement DMS can cover engagements through their complete life cycle, from creation to, preparation, review, approval and finally archiving.

Requires No Database Back-end
OpenEngagement DMS is able to work with external SQL databases, but does not require firms
provide any database back-end. The DMS contains its own database, making its installation easy and the total cost of ownership much lower than that of DMS's that require SQL Server, Oracle or other SQL databases.
